We are a Melbourne landscaping business. To quote and carry out work we need some details about you and your property. This policy explains, in plain terms, what we collect, why, where it goes and how to contact us about it.
We have written this policy with reference to the Australian Privacy Principles in the Privacy Act 1988 (Cth) and the guidance published by the Office of the Australian Information Commissioner (OAIC).
1. Who we are and how to contact us
This website, bastianolandscaping.com.au, is operated by Bastiano Landscaping, a turf and landscaping business based in Melbourne, Victoria, serving Melbourne's west and inner suburbs.
If you have any question about this policy or about how we handle your information, contact us:
- Email: info@bastianolandscaping.com.au
- Phone: 0457 357 085 (Mon–Fri 7am–9pm, Sat 7am–5pm)
2. What personal information we collect
We only collect what we need to respond to you, quote accurately and do the job. Depending on how you deal with us, this can include:
- Contact details — your name, mobile number and email address, and your preferred way and time for us to contact you.
- Business details — for commercial enquiries, your business or organisation name, the type of organisation and your position or role.
- Property and project details — the suburb or postcode of the project, and later the site address; what you would like done; approximate size; current surface; site access; material or style preferences; desired timing; and any notes you add.
- Photos and documents — photos of the area, plans or scope documents you choose to attach to a quote request (up to five files), and photos we take on site while quoting or doing the work.
- Job and payment records — quotes, invoices, payment records and job notes for work we carry out for you.
- Technical data — information your browser sends when you use this site, described in section 5.
Please only send us information about other people (for example a property owner or a body corporate contact) if you are entitled to share it with us.
3. How we collect it
We collect personal information directly from you when you:
- submit the quote request form on this website;
- call, text or email us, or message us on our Instagram or Facebook pages;
- meet us on site for a quote or during a job; or
- accept a quote, book work or pay an invoice.
Some technical information is collected automatically by our website hosting, security and analytics services when you browse the site (see section 5).
4. How we use it
We use your information to:
- respond to your enquiry and contact you the way you asked;
- understand your project, assess site photos and prepare a quote;
- arrange and carry out site visits and landscaping work;
- issue quotes and invoices, take payment and keep business and tax records;
- keep in touch about your job, including scheduling and follow-up;
- run, secure and improve this website, including preventing spam and abuse of our forms; and
- measure and improve our advertising, as described in section 10.
5. Website data, cookies and tracking
Our website is a simple static site. It does not have user accounts and does not use Google Analytics, embedded maps or embedded videos. The services below do run when you use it.
Hosting and server logs
The site is hosted on Vercel. Like any web host, Vercel receives standard technical details with each request, such as your IP address, browser type, the pages you visit and the time of your visit, and may keep these in server logs for security and reliability. The site also loads Vercel Web Analytics, which gives us aggregate page view statistics.
Meta Pixel
Every public page loads the Meta (Facebook) Pixel. It sends details of your visit, such as the page viewed, your IP address and browser information, to Meta Platforms, and it may set cookies in your browser (for example a cookie named _fbp). Meta uses this to measure and improve advertising and, where you have a Facebook or Instagram account, may link it to your account under Meta's own privacy policy. You can limit this through the choices in section 10.
Bot protection on the quote form
The quote form uses Cloudflare Turnstile to check that a submission comes from a person rather than a bot. Turnstile sends browser and device signals and your IP address to Cloudflare for that check. Our quote service also uses your IP address, held only briefly in memory, to limit repeated submissions.
How you found our website
When you arrive from another website, an app or one of our own links, the site keeps a short note in your browser's local storage (not a cookie) of how you got here: the site or app you came from, such as Google or Instagram, any campaign tags or ad click codes on the link, the page you landed on and the date. It does not record the other pages you look at or what you typed into a search engine. The note is only sent to us if you submit a quote request, so we can see which of our listings, posts and ads bring people to us. Visits older than 90 days are dropped from the note, and you can remove it at any time by clearing this site's data in your browser.
Cookies
The public pages of this site do not set cookies of their own. Cookies set by the Meta Pixel and Cloudflare are controlled by those services. Our staff-only admin area sets a secure login cookie for the person who signs in; it is not used on the public site. You can block or delete cookies in your browser settings; the public site will still work if you do.
Links to other sites
We link to our Google reviews, Instagram and Facebook pages. Those sites have their own privacy policies and we do not control what they collect.
6. Who we share it with
We do not sell your personal information. We share it only with the people and services we need in order to respond to you and do the work:
- Cloudflare — when you submit the quote form, it is received and checked by a small service we run on Cloudflare's network before being passed on. Cloudflare also provides the Turnstile bot check.
- GoHighLevel (HighLevel Inc.) — the customer relationship management platform where your enquiry, contact details, project answers and any attached files are stored so we can respond, quote and follow up. Automated actions in that platform may send you a confirmation or follow-up message about your enquiry.
- Vercel — our website host and analytics provider.
- Meta Platforms — receives Pixel data as described in section 5. We do not upload your enquiry details to Meta.
- Our business systems — we keep client, job and invoice records in a cloud database (Supabase) used by our private admin tools, and we use ordinary business email and phone services to communicate with you.
- Professional advisers and authorities — our accountant, insurer or legal advisers where needed, and government bodies where the law requires it.
Each of these providers handles data under its own privacy policy and security practices, and we only give them what is needed for the purpose described.
7. Overseas processing
Some of the services above are operated by companies outside Australia, so your information may be stored or processed overseas, including in the United States:
- GoHighLevel (HighLevel Inc.) is a United States company and stores your enquiry and contact details on its platform.
- Meta Platforms processes Pixel data in the United States and other countries where it operates.
- Vercel and Cloudflare are United States companies that serve and protect this website from data centres around the world, so requests you make to the site may pass through servers outside Australia.
- Our client and invoice database is hosted by Supabase in its Sydney, Australia region; Supabase itself is a United States company.
Overseas providers are not necessarily bound by Australian privacy law. We choose established providers with published privacy and security commitments, and we limit what we send them to what the purpose requires.
8. Storage, security and retention
Your information is stored in the systems described in sections 6 and 7 and on the phones and computers we use to run the business. We take reasonable steps to protect it: our website and forms are served over HTTPS, the quote service only accepts submissions from our own website and validates them before they are stored, access to our business systems is limited to the people who need it and protected by passwords, and our staff admin area uses secure, expiring login sessions.
No method of storage or transmission over the internet is completely secure, so we cannot guarantee absolute security. If we become aware of a data breach that is likely to cause you serious harm, we will contact you and take the steps the law requires.
We keep personal information for as long as we need it to deal with your enquiry, carry out and support the work, and meet our record-keeping obligations (for example, tax and accounting records for invoices and payments). When we no longer need it, we delete or de-identify it. Enquiries that do not lead to work are kept so that we can pick the conversation back up if you return, and you can ask us to delete them at any time.
9. Property photos and reviews
Photos you send us
Photos and documents attached to a quote request are used to understand the site and prepare your quote. They are stored with your enquiry in our customer management platform.
Photos we take
We photograph our work before, during and after a job to document it, check quality and support any follow-up. This is an operational record of the work.
Public portfolio and social media
We also showcase completed work in the project gallery on this website and on our Instagram and Facebook pages. Where we use a photo of your property publicly, we aim to show only the landscaping itself and to avoid identifying details such as street numbers, faces or number plates. If you would prefer that photos of your property not be used publicly, tell us at any time and we will respect that; if a photo has already been published, contact us and we will remove it.
Reviews and testimonials
Our website shows our Google rating and may quote reviews that customers have posted publicly on Google. Those reviews are managed by Google under its own terms; you can edit or delete a review you left through your Google account. If we quote your review on our site and you would like it removed, contact us.
10. Marketing and opting out
We do not run an email newsletter and this website does not ask you to subscribe to one. Messages we send you are about your enquiry or job. If you receive an automated confirmation or follow-up and would rather not, reply to say so or contact us and we will stop.
We use the Meta Pixel to measure and improve our advertising on Facebook and Instagram. To limit this you can:
- adjust your ad preferences and "activity off Meta technologies" settings in your Facebook or Instagram account;
- block third-party cookies or use a content blocker in your browser; or
- use your browser's private browsing mode when visiting our site.
11. Access, correction and complaints
You can ask us at any time to tell you what personal information we hold about you, to correct it if it is wrong or out of date, or to delete it where we no longer need it. Email info@bastianolandscaping.com.au or call 0457 357 085. We will need to confirm you are the person the information is about, and we will respond within a reasonable time, usually within 30 days. We do not charge for these requests.
If you believe we have mishandled your information, please raise it with us first using the details above and we will look into it and reply to you. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
12. Changes to this policy
We may update this policy when our services, suppliers or the law change. The current version is always published at bastianolandscaping.com.au/privacy-policy with the date it was last updated shown at the top. Significant changes will be noted on this page.
